Saved reports and email schedules

Save a report

Any report, standard or built in Explore, can be saved with a name and an optional description. A saved report keeps:

  • its metrics, groupings, filters, time breakdown, sort and row limit;
  • its period as a relative preset (for example Last week) or as fixed dates;
  • its timezone and chart type.

A relative period is worked out each time the report runs, so a saved Yesterday report always shows the day before.

Private and shared reports

  • A saved report is private by default: only its owner sees it.
  • Supervisors and admins can tick Share with every supervisor. Shared reports appear in every supervisor's Saved reports list, with the owner's name.
  • Agents can save private reports. When they run them, they see their own rows only.
  • The owner can edit or delete a report. Supervisors can also edit or delete shared reports. Deleting a report deletes its email schedules.

Email schedules

Supervisors and admins can email a saved report on a schedule: open the report, choose Email schedule, then Add schedule.

OptionValues
FrequencyDaily, weekly (pick the weekday) or monthly (pick a day from 1 to 28).
TimeHour and minute, in the schedule's timezone.
RecipientsUp to 50 email addresses.
FormatExcel (the default) or CSV.
LanguageEnglish or Hebrew, for the email and the file.
EnabledPause a schedule without deleting it.

The email has the report's name and period in the subject, the headline totals in the body, and the full result as an attachment. Send now sends a schedule immediately, which is useful as a test.

  • Due schedules are checked every 5 minutes.
  • A scheduled report runs with full supervisor reach, whoever opens the email.
  • A failed send is recorded on the schedule with its error, and the schedule moves on to its next run.

Email server

Sending needs an SMTP server, configured for your environment by us: your own mail server or relay, and the sender address (for example Floor Walker Reports <reports@example.com>).

Without one, schedules can still be created and are kept, but nothing is sent; the schedule form says so. They start sending once email is configured.
